Managing Director

Reports to: Board of Directors

Managing Director is responsible for upholding YA/YA’s mission, overseeing short and long-term organizational goals, raising funds, managing finances, working in support of the programs and the Creative Team, and representing the organization to the public and conducting administration in an efficient and effective manner, in accordance with policies set by the Board of Directors.

DUTIES:

Resource Development
• Research funding sources including private foundations, corporations, government grants, and contracts for services; • Cultivate relationships with potential donors; • Write funding proposals for both operating support and specific project support; • Communicate regularly with donors, including fulfilling any reporting requirements for grants and contracts; • With Board of Directors, set realistic contributed income goals; • Supervise preparation of annual written development plan; • With the Board, monitor progress toward meeting goals, and suggest mid-course corrections as necessary; and • Supervise the preparation of regular status reports on development activities for presentation to the Development Committee and to the Board.

Financial Management
• Run the organization in a fiscally responsible manner within the Board-approved budget; • Supervise the creation and maintenance of financial management systems necessary to the efficient running of the organization; • Assess and bring to the attention of the Board areas in which financial systems could be improved, with recommendation for action; • Prepare, with creative team and appropriate Board input, an annual operating budget and present it for final Board approval in a timely manner; • Supervise preparation of accurate and timely financial statements in accordance with Board needs as specified by the Treasurer, including statements showing budget-to-actual income and expenses and balance sheets; • Provide for cash flow management, projections, and regular monitoring; • Assure prompt payment of all payroll taxes and preparation of year-end reports to all required government agencies, including annual Form 990 (tax return); • Supervise the bookkeeper in processing payroll, payables, and receivables; and • Working in cooperation with the accountant, supervise the preparation of an annual financial review and tax returns.

Personnel Management
• Working in partnership with the Creative Team, assure smooth-running, efficient staff support for the organization by means of clearly stated job expectations, regular evaluations, delegation of tasks, and appropriate communication channels; • Hire, supervise, evaluate and, if necessary, fire administrative personnel, and work with Creative Team to perform these functions for artistic personnel; • Recommend to the Board appropriate salary ranges for staff, changes in staff structure to improve efficiency, and specific merit and/or cost of living raises as appropriate for approval; and • Administer approved personnel policies and, if necessary, recommend changes to Board of Directors.

Facility Management
• Work with the Board to ensure the stable provision of administrative space and facilities to accommodate programs; • Support the program director in maintaining the inventory of materials, supplies, equipment, and artwork in the storage facility; and • Work with the Real Estate Advisory Board to identify a new home.

Marketing and Public Relations
• Supervise preparation of annual written marketing plan that assesses current and target markets and identifies strategies for promotion; • Work with the Creative Team on the production and distribution of all promotional materials and tools, including press kits, mailers, press releases, etc.; • Support the Program Director and contracted professionals to maintain an up-to-date website and to manage the bi-monthly distribution of an e-newsletter; • Supervise the maintenance of a national/international database of “Friends of YA/YA,” including sponsors, art collectors, partners, alumni, government officials, and the media; • Supervise the creation of strategies to educate the public about the organization; and • Work with the Board President in all matters affecting policy and release only statements that represent the established view or policies of the Board.

Planning
• Work with Creative Team to maintain organizational calendar with all organizational concerns: programs, financial and development deadlines, board meetings, planning, paid staff holidays, etc; • Manage the implementation of the organizational short and long-term plans; and • Contract consultants as needed to guide strategic planning.

Board Liaison
• Provide for staff liaison with all committees; • Provide for reasonable clerical support to Board and committees; • Regularly report to the full Board; • Respond to all reasonable Board requests for information in a timely manner; • Assess organizational needs and issues, bring them to the attention of the Board, and make recommendations for addressing them as appropriate; and • With the Board President, plan annual organizational retreat to evaluate prior year’s activities and begin planning for next fiscal year and update the long-range plan.

Programs
• Provide administrative assistance to Creative Team to supervise and approve the well-ordered production of all budgeted and approved programs; • Educate youth participants about the administration of the nonprofit organization in order to develop capacity among future leaders; • Working in cooperation with the program director, other personnel, and volunteers, assist Creative Team in the implementation of special events; • Build partnerships with other community entities, cultural/educational institutions, and corporations in realizing programs; and • With Creative Team, help negotiate and execute all contracts relating to programs, including personnel, venues, equipment, transportation, etc. in accordance with Board policies.

Earned Income: Contracted Services, Art Sales, & Commissions
• With Creative Team and board, set realistic earned income goals as part of budgeting the planning process; • Supervise tracking of art sales and assure proper database management; • Work with the Program Director in managing arts sales, merchandise inventory, and student art royalties and educational funds; • Work with the Creative Team to pitch bids and proposals for corporate and commercial design art contracts; • Oversee the timely preparation and collection of invoices for contracted services and artwork; and • Assess and diversify earned income revenue streams.

QUALIFICATIONS & REQUIREMENTS • A minimum of five years management experience and B.A. college degree; • Proven skills in fundraising, financial management, planning, and organizational development; • Demonstrated leadership ability, including the ability to motivate personnel, stimulate creative activity, provide vision, and generate new ideas; • Experience in social and/or commercial entrepreneurship; • At least five years experience supervising, communicating with, and directing personnel; • Strong writing and public speaking skills; • Preferred in-depth knowledge of Greater New Orleans arts, nonprofit, and philanthropic communities; • Commitment to a youth development-centered mission and value of youth leadership; and • Fluency in Microsoft Office and basic knowledge of Quick Books, File Maker Pro, and Adobe Acrobat.

COMPENSATION Salary for this position is competitive and depends on prior experience. In addition, a comprehensive benefits package is included.
